Regulatory notice
LeaseFlow Ltd is a software supplier, not an SRA-regulated firm. We do not provide legal services or regulated financial advice. The supervising solicitor at the subscribing firm remains responsible for all legal advice, supervision and SRA compliance on every matter.
1. Regulatory status
LeaseFlow Ltd ("LeaseFlow", "we", "us", "our") is a software supplier to UK conveyancing and leasehold law firms. We are not an SRA-regulated firm and we do not provide legal services.
We do not:
- Provide legal advice or hold ourselves out as solicitors
- Conduct reserved legal activities under the Legal Services Act 2007
- Hold client money or operate a client account
- Act as a regulated CILEx, CLC or SRA-authorised practice
- Provide regulated financial services or insurance mediation
We are case management software for use by qualified UK leasehold solicitors and their support staff. Responsibility for legal advice, regulatory compliance and supervision remains with the instructed firm at all times.
2. Terms of use
By using LeaseFlow, the subscribing firm and each of its authorised users agree:
- The firm is an SRA-regulated, CILEx-regulated or CLC-regulated practice operating in England & Wales (or a properly qualified equivalent)
- LeaseFlow will be used only in connection with leasehold and conveyancing matters in England & Wales
- Authorised users will not share login credentials outside of the firm
- The firm will provide accurate information at signup and during billing
- The firm will not upload documents it does not have a lawful right to process
- The subscription will renew monthly unless cancelled via the Stripe Customer Portal
- We may suspend accounts that abuse the service or that fall outside the scope above
We may update these terms with 30 days' notice via the billing email address held on the firm's account.
3. Privacy & data
LeaseFlow Ltd is registered with the Information Commissioner's Office (ICO) under registration number ZB582143. For client-data processed on behalf of the subscribing firm, LeaseFlow acts as a data processor; the firm remains the data controller.
What we collect:
- Fee-earner account information (name, email, password hash)
- Matter and client data input by the firm (case file, parties, statutory dates, status history)
- Documents uploaded by the firm or by clients via the portal (AES-256 encrypted at rest)
- Service logs for security, reliability and SRA audit purposes
Where we store it:
- Primary infrastructure: AWS region
eu-west-2(London) - No data is transferred outside the UK / EEA
- Documents are encrypted at rest (AES-256) and in transit (TLS 1.2+)
What we don't do:
- Sell firm or client data to third parties
- Use firm or client data to train third-party AI models
- Share matter data with anyone except the subscribing firm and its authorised users
Your rights under UK GDPR:
A data subject (or the firm on their behalf) may request access, correction, deletion or export of personal data by emailing privacy@leaseflow.uk. We will respond within one calendar month. A Data Processing Agreement (DPA) is available on request for all paid plans.
4. Geographic & matter scope
LeaseFlow is built for residential leasehold work under England & Wales law. We do not provide templates, statutory date logic, or support for:
- Scottish property law (different conveyancing system and statutes)
- Northern Irish property law (separate Land Registry and statutes)
- The Channel Islands, Isle of Man, or any overseas jurisdiction
- Commercial leases, freehold sales and purchases (other than enfranchisement)
- Litigation outside of First-tier Tribunal (Property Chamber) matters
If the firm uses LeaseFlow for any matter outside this scope, we cannot guarantee accuracy of statutory date logic or precedents, and we accept no liability for any resulting outcome.
5. Limitation of liability
LeaseFlow provides software tooling on a "best-effort" basis. While we maintain our statutory date logic and precedent library against current law:
- We do not guarantee accuracy of every statutory date or template — the supervising fee-earner remains responsible for verification
- We do not guarantee delivery of automated client emails or reminders (subject to third-party email-provider availability)
- We do not replace the firm's duty to advise its client or to comply with SRA Principles, Codes of Conduct or Accounts Rules
- To the maximum extent permitted by law, our liability is capped at the fees paid by the firm in the preceding 12 months
The firm remains responsible for verifying all dates, drafts and outputs against the source documents and for taking appropriate professional supervision on every matter.
